Download the template, open it in Excel or Google Sheets, and have HR fill in one row per person.
Delete the two example rows before sending it back. Columns can be reordered or renamed —
the importer recognises name, title, phone, email
and their common variants like position or mobile.

WhatsApp is not listed here. Each person's WhatsApp icon points at their own number, built from the phone field on their record.
Keep the banner filename fixed. When the campaign changes, overwrite that one file on your asset host and every signature already installed updates itself. Nobody reinstalls anything.
